New · Bexxo Academy
Two new modules are landing in Bexxo Academy, and they are already live for all our clients. Schedules and automations change the way you train your teams: you decide once who takes which training and by when, and the system handles the rest.
No more chasing people by hand, no more tracking spreadsheet that is never up to date, no more wondering at every audit who has actually completed their training. Your awareness programme can now run on its own, with a dated completion record to prove it. Here is what these two new features change in practice.
A schedule is simply a training calendar. You drop in one or more trainings to complete, choose who they are for and set the dates. Everything is managed from your portal: you create, edit and move a training from one month to another whenever your work organisation requires it.
You decide the scope of each assignment. A training can cover your whole organisation in a single operation, a group of users (a department, a branch, a team) or named individuals. You aim broad for a shared annual awareness campaign, and precise for a refresher that concerns only a few employees.
Each scheduled training gets two markers in time. A start date indicates when it becomes available to the learner. A deadline sets the completion date by which the training must be finished.
These two dates let you build a real progression across the year. Nothing forces you to launch everything at once: you can plan an introductory training in January, then its advanced version in March. This staggering serves two purposes. It raises the level step by step, from the common foundation towards the more advanced topics. And it avoids overloading teams, which matters particularly in a professional setting, where nobody can devote a whole day to training videos.
A training is not necessarily scheduled only once. You can make it recurring and choose to have it come back on its own every month, every six months or every year, with a new completion deadline for each cycle. This is exactly what a mandatory annual awareness programme needs: you set it up once, it then renews on its own without you having to think about it again, and every employee stays covered from one deadline to the next.
As soon as a training is assigned, the learner receives an email letting them know. As the deadline approaches, the system sends automatic reminders to those who have not yet completed it. You no longer have to chase latecomers: the reminder goes out on its own, at the right time.
On your side, the portal shows you where each person stands. You have a dated completion record, and therefore concrete proof of who finished their training and when. That is useful day to day for steering, and valuable on the day you need to demonstrate that your awareness programme is genuinely in place, something Switzerland's revised Data Protection Act (nFADP) expects of companies as part of appropriate measures.
The second module goes further. With automations, you no longer schedule each training by hand: you set a rule, and the system applies it continuously. When a specific event occurs, the corresponding training is automatically assigned to the person concerned, exactly as if you had added it to the schedule yourself. The learner is notified by email, as with any assignment.
Several triggers are available, and the list keeps growing. Here are three of the most telling.
| Trigger (examples) | Training assigned automatically |
|---|---|
| A new employee joins and is synchronised from your portal | Their onboarding trainings, right from arrival, with no action on your part |
| A learner has been inactive for a while | A refresher, to keep good reflexes sharp |
| An employee clicks on a phishing simulation | A phishing detection training, right after the click |
The moment the mistake has just been made is precisely when training sticks best. Automation turns every click too many into a chance to learn, and every new arrival into an onboarding path that is already ready.
The benefit is the same in all three cases. You translate your internal rules once and for all, then they apply on their own, for everyone and over time. Every assignment is tracked, with no duplicates, and your monitoring gains in precision without costing you a single minute of extra admin.
Both modules are available in the phishing simulation as well as the training Academy. And they are not just for companies.
The group principle applies naturally to a class: a school can schedule trainings for a group of pupils, set a deadline and track completion in exactly the same way. The content tailored to younger audiences, teens and kids, as well as the content designed for seniors, can be scheduled and automated with the same tools. A school steers the awareness of a class just as simply as an SME does for a department.
No. Schedules and automations are already active for all our clients, in the portal as well as the Academy. Everything is set up in self-service, with no option to subscribe to and no technical setup.
Yes. You create, edit and move your trainings freely from the portal, at any time. A deadline that no longer suits you is shifted in a few clicks.
Yes. Each learner receives an email when a training is assigned, whether from a schedule or an automation, then reminders as the deadline approaches if they have not yet completed it.
Yes. A class is handled like a group: the school schedules trainings for its pupils and tracks completion the same way a company does for a department. The content for teens, kids and seniors uses the same tools.
A fully functional demo mode lets you create a schedule and set an automation rule to see the result, before any rollout to your teams.
